El Conquistador Hotel Airport Transfers

When the hotel was conceived of, it insisted with the Puerto Rican government that it be given per-mits to operate its own transfer equipment for airport/hotel/airport transfers. At that time Brian Ga-mache, who subsequently became President of Wyndham Resorts, was the Conquistador VP of mar-keting, and he realized that while their meet and greet system at the airport was perfectly fine for indi-vidual FIT traffic, that there was no way that it would suffice for the top quality incentive clientele the hotel hoped to attract, and he and Paul therefore entered into an arrangement which still endures, wherein the Conquistador would provide the busses and drivers in accordance with the arrival and departure information we would give the hotel, but that we would add all the frills in terms of the addi-tional service layers that would fill the void between their do-it-yourself transfer and our enhanced transfer. A basic part of this agreement was our willingness to not compete with them in the rendering of transfers by using our own equipment, but rather, we would complement their equipment with our personnel and expertise.

TRAVEL SERVICES ENHANCED TRANSFER PACKAGE
Our enhanced travel package includes English and Spanish-speaking airport meet and greet teams. Passengers are met within the baggage claim areas with computer-generated signs by our dedicated staff specifically looking for your group upon arrival. A specific individual or team is assigned to the handling of each arrival flight. Those assigned commence checking ETA’s two hours prior to sched-uled arrival time, and have responsibility for ensuring handling of delayed arrivals without a hiccup. This staff goes into the airline computer system in order to determine protection flights in the event of cancelled flights or passenger no-shows, and here too, the staff assigned ensures the substitute flight is effectively handled. This staff is linked to our Operations Department as well as to curbside staff by radio.

As passengers enter the bag claim area, they are welcomed to the island, and are escorted to the conveyor belts assigned to their particular flights. Travel Services, Inc., organizes and pays the por-ters for all baggage tips and provides expert overall management of the entire arrival scenario. In addition, we work closely with the El Conquistador transportation team and their Airport Manager; however in doing so, we are acting as your advocate, and utilizing every tool at our disposal in order to make the handling of your group as organized and smooth as it can possibly be.

The hotel takes down the names of all passengers as they board the coach. This manifest is called into the hotel ahead of time so that the participants can be met with their room keys when they arrive.

On departure transfers, Travel Services, Inc., assists in the planning of the bag pull, recommending appropriate timings, and will be pleased to prepare and provide departure notices in accordance with the departure information supplied, for ultimate distribution by the group's travel staff. On departure day, which normally commences at about 5:30 a.m., Travel Services is out at the hotel, spotting equipment and providing overall coordination to the departure operation for the day. In addition, and most importantly, a Travel Services crew will be stationed at San Juan airport, curbside, in order to receive the vehicles as they arrive from the hotel, so as to be able to organize and pay the porters for baggage handling for those passengers returning to the airport. If you have large check-ins with one or more specific airlines, we'll be pleased to arrange for special check-in positions at the airport.

An additional feature of substantial value is included; all arrival and departure information as well as all additional transportation services required by the group is incorporated into our "Opsked" program, a data base which allows the meticulous tracking of each and every service, no matter how complex. Some of the substantially sized incentive movements that Travel Services has handled in the past would have been totally impossible to properly service had it not been for this program. In addition, every flight is “flifo-ed” ahead of time through our in-house automated reservations system in order to catch any misinformation contained on the arrival and departure manifests we are given – of which there is a surprisingly large amount.

EXCLUSIVE TRANSFERS
Some clients have indicated that they want absolute exclusivity on each of their transfer vehicles. This can be provided by paying a surcharge of 30 percent to cover the cost of the empty seats which will have to be dispatched, in some quantity at times, in order to ensure the exclusivity feature on the actual transfer equipment. Note: San Juan Airport security access conditions can change from time to time depending upon major world situations. Currently most DMCs have access to all bag claim areas (including ourselves), however gate meets are no longer allowed due to security restrictions.
